Kelly Services is seeking candidates for a Document Administrator role with an industry leading, Fortune 500, global, chemical manufacturing company in Midland, MI. This is a full time, ongoing position with Kelly Services at this location. Knowledge skills and abilities:* Strong organizational and prioritization skills* High degree of ownership to the plant and equally with our organization* Positive and enthused* Critical thinking and problem solving skills* Adaptability* Quick learning skillsThorough knowledge of MS Office Job responsibilities and tasks: * Communicate Document Management System (DMS) updates to plant personnel* Coordinate internal DMS audits* Initiate DMS-related Management of Change (MOC)* Manage integration of new documentation into facility's DMS* Provide DMS coaching to personnel* Provide initial DMS training* Review all documentation owned by the Document Administrator (DA)* Update procedures that were marked with changes or reviews* Completes document move requests via email, hard copy turned in, via MOC.* Perform fileshare clean-up & annual records retention on electronic fileshare* Manage & maintain department file share (permissions and group security)* Perform the role of Element Focal Point (EFP) for area assigned ODMS section/element 05.03.03 Document & Records Management* Perform duties as Records Management Coordinator (records retention of physical library, offices, coaching & training)* Run monthly DMS Metrics & communicate to the plant personnel* Perform WebEDMS administration & reviews* Perform WebMOC administration & reviews* Manage Event & Action Tool for the departmentOffice professional skills:* Familiarity with office technology* Pleasant, friendly disposition* Strong interpersonal communication skills* Strong organizational and prioritization skills* High degree of ownership to the plant and equally with our organizationThorough knowledge of MS Office Office professional tasks: * Checks emails & voicemails* General clerical Support (i.e. filing, laminating, errands, copying, etc.)* Manage mail* Review all documentation owned by the OP* Arrange office moves - if needed* Assist plant personnel with travel arrangements - if required/requested* Ensure visitor logs are stocked & supply visitor passes to personnel if needed* Manage calendar/schedule by creating/deleting meeting notices for personal calendar, plant resources and plant leadership.* Manage plant Outlook distribution lists* Manage the plant's Cintas account* Provide technical support for plant office equipment (i.e. printers, computers, phones, etc.) by troubleshooting & submitting services requests (if-needed)* Complete an expense reports & assist other personnel when needed* Ensures that the New Member Integration process runs smoothly by scheduling meetings for new member along with introductions.* Complete the exit checklist for exiting employees* Ordering & procurement* Arranges business & plant lunches as needed* Manage/order office/kitchen suppliesDue to the high volume of responses anticipated, only qualified candidates will be contacted This position is recruited for by a remote Kelly office, not your local Kelly branch.
